Event coordinator & planning assistant

Job Description

An Event Coordinator Assistant helps  enhance the brand image as a supporting role that helps with the planning and execution of different types of events. Their responsibilities may vary depending on the size and type of event, but they are typically responsible for coordinating logistics, managing communication, and ensuring that everything runs smoothly. They work closely with other team members to ensure that all aspects of an event are coordinated and executed to perfection.


Duties Include (but not limited to): 

  • Assisting the Event Director/Manager with a high number of events, ranging from small meetings to Large ceremonies
  • Accompanying Events Manager to both internal and external events
  • Promoting events across all social media platforms
  • Supporting the events manager with logistical and administrative support
  • Maintaining records of all bookings e.g. venue and catering and taking payments where necessary
  • Assisting with creative decisions
  • Attending all meetings to act as a second point of contact
  • Ad-hoc duties at events including, but not limited to, guest list management, showing guests to tables and taking coats
  • Helping set up and dismantle events efficiently through to completion
  • Ensuring all branded items for events arrive on time
  • Resolving problems and guest inquiries before and during the event
  • Property Tours & Appointments

Minimal Requirements

  • Proven project management skills
  • Confident with all Microsoft Office packages
  • Creative and used to thinking outside the box
  • Excellent networker
  • Passion for events
  • Able to work independently as well as part of a team
  • Personable and presentable
  • Eager to contribute new ideas


Hours, Pay & Benefits

Property Tours, Appointments, & Events can be scheduled any day of the week with Friday-Sunday being the most Booked Event Days. Events start no earlier than 11:00am and end no later than 11:00pm. Most Events are 6 hours or less.


Part Time: Expect between 16-25 Hours, up to 40 hours weekly (depending on projects & events needed)


Hourly Wage:  Starting at $18.00/hr
